Reference Data Area

The Reference Data Area is a listing page that displays reference data items. The Reference Data Area does not display any items until you select a reference data type (address book, phrases, threshold groups, instrument templates, users, security profiles, foreign exchange rates, or PO Definitions) from the Show drop-down list at the top of the listing page area. The Reference Data Area includes a navigation bar at the top of the page, allowing you to navigate to any other area of the Trade Services system.

Address Book

The Reference Data Area with Address Book displays when you select Address Book from the Show drop-down list at the top of the Reference Data Area.

The fields and controls specific to this page are described below.

Field/Control Description

Show

Making a selection from this list displays different reference data types in the Reference Data Area. Available selections include Address Book, Phrases, Threshold Groups, Instrument Templates, Users, Security Profiles, Foreign Exchange Rates, LC Creation Rules, PO Definitions, Receivables Matching Rules and Work Groups.

Create a Address Book

Pressing this button displays the Address Book page, allowing you to enter information about a new address book and save the address book in the system. See Creating a Address Book for information on how to create a new party.

Search text box

The search criteria for the address book search. Entering the first few characters of the party's name and pressing the Search button filters the results that display in the address book listing.

This field can contain up to 30 characters. The field is not case sensitive (the search will find all matches regardless of case).

Search

Pressing this button initiates a address book search based on the search text entered in the search text box. Search results then display in the parties listing.

Address (Line 1)

Column displaying the first address line for each address book in the listing.

City

Column displaying the city for each address book in the listing.

Country

Column displaying the country for each address book in the listing.

Added by

Column indicating who (the bank or your corporation) added the party to the Trade Services system. Corporate customer users cannot modify or delete reference data that is added by the bank.

The Added By column on all of the reference data list views specifies My Corporation whether the reference data is owned by the users organisation or by the subsidiary organisation. Therefore, there is no differentiation in the list view.

Vendor ID

Column displaying the Vendor ID for each party in the listing.

Phrases

The Reference Data Phrases list view displays when you select Phrases from Reference Data section of the menu.

The fields and controls specific to this page are described below.

Field/Control

Description

New

Pressing this button displays the Phrase page, allowing you to enter information about a new phrase and save it in the system. See Creating a Phrase for information on how to create a new phrase.

Phrase Name

Column displaying the name of each phrase displayed in the listing page. Click on a phrase name in the column to display detailed information about the phrase.

By default, the phrase listing is sorted by the Phrase Name column; click on any other column heading to sort by that column.

Phrase Category

Column displaying the category for each phrase in the listing.

Added by

Column indicating who (the bank or your corporation) added the phrase to the Trade Services system. Corporate customer users cannot modify or delete reference data that is added by the bank.

The Added By column on all of the reference data list views specifies My Corporation whether the reference data is owned by the users organisation or by the subsidiary organisation. Therefore, there is no differentiation in the list view.

Threshold Groups

The Reference Data Threshold Groups list view displays when you select Threshold Groups in the Reference Data section of the menu.  All threshold groups created by your organisation appear in the listing page.

Threshold Group Name

Column displaying the name of each threshold group displayed in the listing page. Click on a threshold group name in the column to display detailed information about the threshold group.

The threshold group listing is sorted by the Threshold Group Name column.

Templates

 

The Templates listview displays when you select Templates from the Reference Data section of the menu. The fields and controls specific to this page are described below.

 

Field/Control

Description

New

Pressing this button displays the New Template Selector pop-up page, allowing you to enter information about a new template.  See Creating an Instrument Template for information on how to create a new instrument template.

Template Name Search Text Box

The search criteria for the template search. Entering the first few characters of the party's name and pressing the Search button filters the results that display in the Templates listing.

This field can contain up to 35 characters. The field is not case sensitive (the search will find all matches regardless of case).

Search

Pressing this button initiates a Template search based on the search text entered in the search text box. Search results then display in the Templates listing.

Template Name

Column displaying the name of each instrument template displayed in the listing page. Click on a template name in the column to display detailed information about the template.

By default, the template listing is sorted by the Template Name column; click on any other column heading to sort by that column.

Instrument Type

Column displaying the instrument type for each template in the listing.

Party Name

Column displaying the name of the party associated with the instrument template in the listing.

Express

Column indicating whether the template in the listing is an express template or tamper-proof template. If the template is an express template, Yes appears in this column; if the template is not an express template, the column displays No.

Fixed

Column indicating whether the template in the listing is a fixed template or variable (customizable) template. If the template is a fixed template, Yes appears in this column; if the template is not a fixed template, the column displays No.

Added by

Column indicating who (the bank or your corporation) added the instrument template to the Trade Services system. Corporate customer users cannot modify or delete reference data that is added by the bank.

The Added By column on all of the reference data listviews specifies My Corporation whether the reference data is owned by the users organisation or by the subsidiary organisation. Therefore, there is no differentiation in the listview.

Users

The Users list view displays when you select Users from the Reference Data section of the menu. All existing users for your organisation appear in the listing page.

The fields and controls specific to this page are described below.

Field/Control

Description

New

Pressing this button displays the User page, allowing you to enter information about a new system user and save it in the system. See Creating a New System User for information on how to create a new user.

User ID

Column displaying the user ID for each user displayed in the listing page. Click on a user ID in the column to display detailed information about the user.

By default, the user listing is sorted by the User ID column; click on any other column heading to sort by that column.

Last Name

Column displaying the last name for each user in the listing.

First Name

Column displaying the first name for each user in the listing.

Security Profile

Column indicating the security profile to which the user belongs.

Threshold Group

Column displaying the threshold group to which the user belongs.

Work Group

Column indicating the work group to which the user belongs.

Admin/Non-Admin

The column will display the User Profile Role as Admin or Non-Admin. This column should only appear if the Client Bank setting 'Corporate Customer User/Security Role (Admin vs. Non-Admin)' is set to Yes.

Security Profiles

The Reference Data Security Profiles list view displays when you select Security Profiles from the Reference Data section of the menu.

New

Name

Column displaying the name of each security profile displayed in the listing page. Click on a security profile name in the column to display detailed information about the security profile.

By default, the security profile listing is sorted by the Security Profile Name column; click on any other column heading to sort by that column.

Added by

Foreign Exchange Rates

The Reference Data Area with Foreign Exchange Rates displays when you select Foreign Exchange Rates from the Reference Data option of the Mega Menu.  All foreign exchange rates created by your organisation appear in the listing page.

Field/Control

Pressing this button displays the Foreign Exchange Rate page, allowing you to enter information about a new foreign exchange rate and save it in the system. See Creating Foreign Exchange Rates for information on how to create a new foreign exchange rate.

Currency

Column displaying the currency for each foreign exchange rate displayed in the listing page. Click on a currency in the column to display detailed information about the foreign exchange rate for that currency.

 

Calculation Method

Column indicating the method for converting each currency displayed in the listing page. Example values for this column include Multiply and Divide.

Mid Rate

Column indicating the exchange rate for each currency displayed in the listing page.

Last Modified

Column indicating the last modification date for each foreign exchange rate displayed in the listing page.

Base Currency

Column indicating the base currency against which the exchange is defined for each currency displayed in the listing page.

FX Rate Group

Column indicating the FX group under which the exchange is defined for each currency displayed in the listing page.

Max Spot Rate Amount

Column indicating the Max Spot Rate Amount for each currency displayed in the listing page.

Max Deal Amount

Column indicating the Max Deal Amount for each currency displayed in the listing page.

Edit All Existing Rates

Pressing this button displays the Edit All Existing Rates page, allowing you to edit all foreign exchange rates in the system.

LC Creation Rules

PO Definitions

The PO Definition list view is displayed when you select PO Definitions in the Reference Data section of the menu. The PO Definitions are used to define purchase order details for uploading and for manual Purchase Order entry and are required before a user can process any kind of Purchase Order.

In order for a corporate organisation to use the Trade Service systems purchase order features, there must be a PO Definition. A corporate organisation can create one or more PO Definitions. In order to work with PO definitions, you must have the security rights necessary to maintain reference data.

New

Pressing this button displays the PO Definitions page, allowing you to enter information about a new PO definition and save it in the system. See Creating PO Definitions for information on how to create a new PO definition.

Display Name

Column displaying the name of each PO definition displayed in the listing page. Click on a definition name in the column to display detailed information about the PO definition.

By default, the PO definition listing is sorted by the Display Name column; click on any other column heading to sort by that column.

Description

Column indicating the description for each PO definition displayed in the listing page.

Default

Column indicating which PO definition is the default definition. In this column, Yes is displayed next to the default PO definition.

Receivables Matching Rules

The Reference Data Area with Receivables Matching Rules displays when you select Receivables Matching Rules in the Show drop-down list of the Reference Data Area.

Buyer Name

Column displaying the name of the Buyer for each Receivables Matching Rules displayed in the listing. Click on a Buyer name in the column to display detailed information about the Receivables Matching Rules.

By default, the work group listing is sorted by the Buyer Name column; click on any other column heading to sort by that column.

Buyer ID

Column indicating the Buyer ID of the Buyer for each Receivables    Matching Rules displayed in the listing.

Date Created

Column indicating the Date on which each Receivables Matching Rule displayed in the listing page was created.

Search

Pressing this button after entering filter criteria of Buyer Name and / or Buyer Id in the search fields returns a list of Receivables Matching Rules matching the search criteria entered. The text entered in the search fields is case insensitive.

Panel Authorisation Group

The Panel Authorisation Groups listview displays when you select the Panel Authorisation Groups link from the Reference Data section of the menu.

Panel Authorisation Group Name

The Name of the Panel Authorisation Group

Panel Authorisation Group ID

The ID that will be associated to the Panel Authorisation Group

Instrument Type

The type of instruments for which the Panel Authorisation Group is applicable. 

Added By

The organization that added the Panel Authorisation Group.

By default, the Payment File definition listing is sorted by the Payment File Definition Name column.  To sort by any other column, click on the column header.

Description

Column displaying the Description of the rule displayed in the listing page.

Added By
