Reference Data - Address Book

The Address Book Reference Data area displays when you select Address Book  from the Reference Data section of the menu

The fields and controls specific to this page are described below.

Field/Control

Description

New

Pressing this button displays the Address Book page, allowing you to enter information about a new address book and save the address book in the system.

Include Banks checkbox

For the Address Book Search in the Reference Data List Views at the Admin and Corporate Customer level only, a new ‘Include Banks’ checkbox will be added to allow
the user to include banks in the result set of the Address Book Search or not.

If the checkbox is selected, then the result set will display both Bank and Corporate Address Book entries. If the checkbox is NOT selected, then the result set will display only Corporate Address Book entries.

Refresh

The   Refresh option dropdown will allow the user to refresh the list view to show the full set of data after a search.

Search

The (Search) option dropdown will allow the user to bring up a search drop down list to use an entered value in order to find specific matching data from the set of party data.

The dropdown will provide a list of the key fields in the Party/Address Book Entry and a field into which a user can enter the corresponding search value. To use the search, the user will select a value from the dropdown list of the key fields. The key field name will appear in the search criteria entry field to alert the user to enter the value to be searched on in that field. The user will then type the value into the field and press enter in the field to initiate the search. The search will execute on the data in the specified database column. The search will not match only on the beginning of the word, but anywhere in the field it finds a match on the series of characters that have been entered (including partial).

In order to clear the search, the user will press the Refresh icon. Selecting this icon will refresh the list view to present the full list of Payment Instruction Details data, with no filters on the data. The fields that will be available in the  dropdown list are only those listed below:

  • Address Line 1
  • Address Line 2
  • City
  • Country
  • Party Name
  • SWIFT Address

The Party Name will be set as the default search criteria for the Address Book Search in the Reference Data List Views at the Admin and Corporate Customer level and also to the Search Window that is invoked when a user presses the Search button next to a Party on a data entry page.

Party Name

Column displaying the party name line for each address book in the listing.

Address

Column displaying the first address line for each address book in the listing.

City

Column displaying the city for each address book in the listing.

Country

Column displaying the country for each address book in the listing.

Added by

Column indicating who (the bank or your corporation) added the party to the Trade Services system. Corporate customer users cannot modify or delete reference data that is added by the bank.

The Added By column on all of the reference data list views specifies My Corporation whether the reference data is owned by the users organisation or by the subsidiary organisation. Therefore, there is no differentiation in the list view.

Swift ID

Column displaying the Swift ID for each address book in the listing.

Vendor ID

Column displaying the Vendor ID for each address book in the listing. Vendor ID will only be visible if the Corporate Customer setting: 'Do not Display Vendor ID' is not selected.
