Working with Messages

In order to process trade transactions, it is necessary to communicate with your bank about the instruments and transactions being processed in the Trade Services system. This communication occurs by working with the Mail and Notifications pages in the Messages area of the system. The tasks you can perform for messages and notifications depend on your security rights for working with them.

To perform messages tasks successfully in the system, it is important to understand the following concepts:

 


Message Types

Following is a summary of the incoming and outgoing messages that you work with in the Messages area:

 

 


Messages Workflow and Folders

Messages move through the Trade Services system, starting from the time that the message is received from the bank (incoming message) or created in draft form (outgoing message or response). As part of the workflow of a message, any authorised user can route incoming or outgoing messages in the Mail page to another user or organisation through the route message functionality. Messages that appear in the Notifications page cannot be routed to other users. The Mail page indicates the person to whom the message is currently assigned. This person is generally the person to whom the message has been routed or the person who last took action on the message (sent it to the bank, saved it, deleted it, and so on).

Messages are organised into folders in the Mail page, to help organise the messages that require action or response from your organisation or that are in draft form before being sent to your bank . The table below summarises the contents of each folder in the Mail page.

Folder

Description

Inbox

Contains messages that have been received from your bank that require action from your organisation. Messages that have been received from your bank that do not require action are listed in the Notifications tab.

After messages in this folder are deleted, they appear with the related instrument in the Instrument History tab.

Drafts

Contains messages or responses that have been started and saved as a draft. This folder also contains messages that have been routed to a person or organisation within your organisation, but not yet sent to the bank.

After messages in this folder are deleted, they no longer appear anywhere in the system.

Sent to Bank

Contains messages and responses that have been sent to your bank.

After messages in this folder are deleted, they appear with the related instrument in the Instrument History tab.

 

 


Messages Actions

The following table describes each action button that can appear on message pages. Different action buttons appear on a message, depending on the message's status, whether the message is in edit mode or read-only mode, and/or the user's security rights for messages. If a user has view only security rights for messages and notifications, all messages display in read-only mode. Incoming messages are always displayed in read-only mode.

Message Locking

When more than one user has the security rights to create and reply to mail messages, the situation can occur in which two users try to update the same message or response at the same time. To ensure data integrity, only the first user to save changes to the mail message or response will be successful; the other user or users who opened the message or response will need to cancel his or her changes and reopen the message or response to apply the changes.
