Purchase Orders

The Purchase Orders page is available through the Upload Centre menu option. The Purchase Orders page displays to users with appropriate security rights a list of purchase order line items that have been uploaded to the system, but have not yet been assigned to letters of credit or Approval to Pay issued. From this page, users can perform the following tasks:

Users with appropriate security rights can maintain purchase order definitions and letter of credit creation rules in the Reference Data area of the system. These reference data items define settings and details for how purchase orders are uploaded and processed in the system.

Note:The Purchase Orders page displays only if your organisation uses the purchase order processing function of the Trade Services system.

The fields and controls contained in the Purchase Orders page are described below.

Field/Control

Description

View Log

Pressing this button displays the PO Upload Log page, which provides the date and time that the PO data file was last uploaded. See Working with Purchase Orders and Viewing the Purchase Order Upload Log for more information.

Pressing this button reloads the Purchase Orders page with data that has changed since the last time the page was loaded. Use this button to refresh the page after you use the Upload PO Data button.

Upload PO Data

Pressing this button displays the Locate & Upload PO Data File, which allows you to upload a new PO data file. See Working with Purchase Orders and Uploading New Purchase Order Data for more information.

PO Number & Line Item Number

Column displaying the purchase order number and line item number for each purchase order line item displayed on the page. The source of this read-only information is the purchase order upload file.

Select the checkbox to the left of this column to select the item for the Delete. Selected Item(s) action at the bottom of the page. Click the PO number & Line Item. Number hyperlink to display the PO Line Item Detail page.

Beneficiary/Seller  Name

Column displaying the name of the beneficiary/seller of the purchase order line item. The source of this read-only information is the purchase order upload file.

CCY

Column displaying the base currency for each purchase order line item displayed in the page. The source of this read-only information is the purchase order upload file.

Amount

Column displaying the amount of each purchase order displayed on the page. The source of this read-only information is the purchase order upload file.

Date Created

Column displaying the date that the purchase order data file for the line item was updated.

Delete

Pressing this button deletes the line items selected in the listing page. You select a line item by clicking the checkbox to the left of each line item row. See Deleting Purchase Order Line Items for more information.

Create ATPs Using Rules

Pressing this button initiates the grouping process, using the ATPCreation Rules to group PO line items into ATPs.  This button will not appear if the user doesn’t have the security right to create ATPs. (Approval To Pay)This button does not display if you do not have security rights to create Approval to Pay transaction.

Create LCs Using Rules

Pressing this button initiates the letter of credit creation process, using the LC creation rules defined in the Reference Data area. See Working with Purchase Orders and Creating Letters of Credit from PO Data for more information.

This button does not display if you do not have security rights to create Import Letters of Credit.

Search

Filters the Purchase Orders listed according to the search criteria specified.

Select dropdown box - Located as a Column Header and Footer for the Selection Column of the list.  This image dropdown provides options to Select All, Unselect All, or Reverse (selecting the items not selected and unselecting the selected items).
